What Should You Do if Amazon Rejects Your Invoices?

If Amazon rejects your invoices, check the rejection message against the invoice you actually uploaded. Start with your business name, supplier contact details, purchase date, product description and quantities. Then check that the invoice covers the products Amazon asked about. Correct the specific problem before submitting your invoice appeal again.
Why does Amazon reject supplier invoices?
Amazon may reject an invoice because the supplier cannot be verified, the product is unclear, details are missing, or the purchase does not meet the request. A genuine invoice can still be unsuitable for a particular appeal. The rejection message may identify the problem, but it does not always explain it fully.
Open the original document request, your uploaded invoice and Amazon’s reply side by side. An invoice for approval to sell a brand may have different requirements from an invoice requested after an inauthentic complaint. Check the requirements for your own application or suspension appeal.
- Missing information: check for a cropped address, missing page or unreadable product description.
- Unable to verify the supplier: check the supplier’s real business details and who can confirm your purchase.
- No clear reason: compare each requirement with the uploaded file. Ask which requirement remains unmet instead of guessing that the entire invoice is invalid.

What information should an invoice include for an Amazon appeal?
Check the buyer and supplier names, addresses, supplier contact details, invoice date, itemized products and quantities. The products and purchase period must match Amazon’s request. Its invoice guidance for policy appeals explains these checks; use the date and quantity requirements in your own case.
- Your business: does the buyer name match the business selling on Amazon? If you moved, can you explain the old address?
- Your supplier: is the business identifiable and reachable through the details provided?
- The purchase: is this an invoice for an actual purchase, rather than a quotation or an unfulfilled order?
- The product: can someone tell which size, color and pack you bought?
- The date and quantity: does this purchase cover what Amazon requested, or are other invoices needed?
How do you match an invoice to the Amazon product listing?
Compare the product on the invoice with the listing’s ASIN, which is Amazon’s product identifier. Match the brand, product name, size, color and pack quantity. If the supplier uses a different product code, ask for a catalog page or product specification that shows what that code means.
Example of an unclear product description
You sell a blue 750 ml water bottle. Your supplier’s invoice only says “water bottle.” The reviewer cannot tell whether you bought that bottle, a smaller one or a different color.
Ask the supplier for its product description or catalog page linking the invoice item to the blue 750 ml bottle. Point to that information in your appeal. You are explaining the purchase, not adding details to the invoice yourself.

If your listing is a two-pack but the invoice counts individual bottles, explain that clearly. For example, 100 individual bottles make 50 two-packs. Check your actual packing and stock totals before using that explanation.
What if the invoice quantity does not match your Amazon sales?
First check that you are counting the same thing. An invoice may count individual items while Amazon orders count packs. Also check whether one invoice covers the full period Amazon requested or only part of it.
For a simple stock check, suppose you bought 100 bottles and sold 70. You would expect 30 left if nothing else happened. If you have 25, look for the other five: sales through another channel, damaged items, transfers or a counting mistake. Explain actual movements using your sales and stock information. This is a checking exercise, not an Amazon minimum-quantity rule.
Can Amazon reject a genuine invoice?
Yes. The invoice may be genuine but show the wrong business, an unclear product, an unsuitable purchase date or only some of the stock being reviewed. A valid purchase also does not automatically answer every question about the supplier. See what to do if Amazon cannot verify your supplier.
What other documents can support your invoice appeal?
Use documents that explain a specific issue. A supplier catalog can clarify the product. A payment confirmation can support the purchase. A delivery note can show what arrived. These documents support an invoice; they are not automatically accepted replacements for one.
Can you correct an invoice that Amazon rejected?
Ask the supplier to correct a genuine mistake, such as a misspelled business name or an incorrect product description. Keep the original invoice and the supplier’s explanation. Do not change the supplier’s PDF yourself or ask for a purchase to be invented or backdated.
If the invoice is accurate but unclear, a separate explanation may be enough to clarify what it shows. For example, attach the supplier’s catalog page and explain which listed bottle you purchased. Whether that answers the rejection depends on Amazon’s actual request.
Can you highlight products or hide prices on an Amazon invoice?
Follow the instructions for your submission. Amazon’s policy-appeal invoice guidance allows relevant product highlighting and price removal in that context. It does not allow you to change dates, quantities or business details. Keep an unchanged original and check that the uploaded copy is complete and readable.
What should you send after Amazon rejects an invoice?
Send the corrected or missing information with a short explanation of what it answers. Make it easy to find the relevant product and invoice line. Avoid sending the same file again without explaining what has changed.
A clearer invoice appeal example
“The affected listing is for our blue 750 ml water bottle. The invoice describes it as ‘water bottle.’ The attached supplier catalog identifies the invoice item as the same size and color shown on our listing. Please see the highlighted product on the catalog page.”
Use this explanation only if the supplier’s documents support it. Include your actual ASIN and invoice details when submitting. The point is to explain the product match in plain language.

- Add the document that explains the rejection issue, such as the missing page or supplier product description.
- State what changed since the previous submission.
- Submit through the appeal or application shown in Seller Central and save what you sent.

What if you cannot get an acceptable invoice?
Will buying from another supplier solve the earlier invoice rejection?
A new purchase proves that new purchase. It does not prove where your earlier stock came from. Keep improvements to future sourcing separate from your explanation of the products Amazon is reviewing.
What if the supplier will not provide another copy or clarification?
Check your original order emails, invoice downloads and payment history, then ask the supplier for the exact missing item. If you still cannot meet the invoice requirement, explain what is unavailable and ask about the available appeal options. Do not substitute an unrelated invoice.
