What Should You Do if Amazon Cannot Verify Your Supplier?

If Amazon cannot verify your supplier, check that the invoice identifies the real business you bought from and gives accurate contact details. Ask the supplier to confirm the purchase and provide any missing information Amazon requested. Then explain how the supplier, invoice and affected products connect in your appeal.
Why does Amazon say it cannot verify your supplier?
The message means Amazon has not accepted the supplier information for this review. It may involve the business details, confirmation of the purchase or proof of where the products came from. The wording alone does not tell you which check failed.
Read the rest of the rejection carefully. “We cannot verify your supplier” is a different problem from “the invoice does not identify the products.” If Amazon names a particular problem, address that first. For missing invoice details, use the Amazon invoice rejection checklist.
How can you check your supplier before appealing to Amazon?
Compare the supplier name, address and contact details on your invoice with the business that sold you the goods. Ask who can confirm your purchase. If the business trades under a different name, get a clear explanation linking the trading name to the company on the invoice.
- Does the invoice name the supplier you actually paid?
- Are the address, telephone number and other requested details accurate?
- Can the supplier find your order and confirm the products and quantities?
- Can it provide any sourcing documents specifically requested by Amazon?
A professional-looking website does not answer all of those questions. Likewise, a supplier that answered Amazon for an earlier appeal may still need to confirm the purchase being reviewed now.
How do you prove you bought the products from that supplier?
Start with the invoice, then use payment, delivery and product information to explain any unclear part of the purchase. Each document should have an obvious purpose. There is no need to turn a simple purchase into a complicated diagram.
Example of a purchase that needs explaining
You bought 100 blue water bottles from a wholesaler. The invoice names the wholesaler but describes the items only as “bottles.” Your Amazon listing sells a blue 750 ml bottle.
- The invoice shows who sold the bottles to your business.
- Your payment confirmation supports the payment to that wholesaler.
- The delivery note shows how many bottles arrived.
- The supplier’s catalog or product description connects those bottles to the size and color on your Amazon listing.
If Amazon also asks where the wholesaler obtained the goods, those four documents may still leave that question unanswered. Ask the wholesaler for the sourcing information requested. This is an illustrative example, not a client result.
What should you ask your supplier to send for an Amazon appeal?
Ask for the specific missing information, rather than every document the business holds. Give the supplier your invoice number and explain whether Amazon is questioning its business details, the product description or the source of the goods.
A simple supplier email
“Amazon has asked us to verify the water bottles we bought from you. Please confirm the company name and contact person for our purchase. The invoice says ‘water bottle’; can you provide the product description showing the size and color supplied? I have attached Amazon’s exact document request so you can see what is missing.”
Adapt this to your purchase. If Amazon asks for information about the supplier’s own source, include that request too. Share only the relevant request, not unrelated account or customer information.
If the invoice contains a genuine mistake, ask the supplier to correct it through its normal process and keep the original. Do not ask it to invent an authorization or change a purchase date.
Do you need invoices from your supplier’s own supplier?
Only the request for your case can establish what sourcing documents you need to provide. If Amazon asks for the supply chain, ask your supplier how it can show where the products came from. Your payment to the supplier does not, by itself, show its source.
Also separate proof of purchase from permission to use a brand’s intellectual property. Buying genuine goods is not the same as obtaining a license to use a particular photograph. See Amazon letter of authorization requirements for that distinction.
Should your supplier contact Amazon directly?
Follow the contact instructions in the case. If Amazon asks for supplier contact details, give accurate information and let the supplier know which purchase is being reviewed. If a direct reply is requested, confirm that the supplier used the stated route.
Keep your own appeal complete. A supplier saying “we emailed someone at Amazon” does not tell you whether the information reached the relevant review or whether Amazon accepted it.
What if your supplier refuses to help with Amazon verification?
Ask once more for the exact missing item and check the documents you already hold. You may have the original invoice, order confirmation and delivery information. If the required proof is still unavailable, identify that gap and ask about the available response options in your case.
A new invoice from a different supplier cannot explain an earlier purchase. It can show a change to future sourcing, but your appeal still needs to address the stock Amazon is reviewing.
How do you appeal another supplier-verification rejection?
Explain what you added or corrected since the last submission. For example: “The previous invoice used our supplier’s trading name. The attached supplier confirmation identifies the company operating under that name and gives the contact responsible for our purchase.” Use that explanation only when it is true and supported.
